-You may use the loading dock to bring in and set up your own booth provided you are not driving a commercial vehicle.
-Power tools are permitted for booths 10x60 (600 square feet) or smaller.
-Booth sharing is allowed: Limit of 2 large companies per 10x10 booth or 3 framebuilders/artisan companies per 10x10 booth.
-All booths include pipe and drape, draped table, 2 chairs, wastebasket, and booth ID sign.
-Inflatables are not allowed and all pop up tents must be labeled fire retardant.
-Table spaces include draped table, 2 chairs and 3' drape behind. There is no side drape.
-Tents must not exceed 8' in height and are required to have a fire retardant tag.
-Booth walls/decor cannot exceed 8' in the back or 3' on the side.
-10x20 perpendicular end-caps have one centered 8’ high x 10' wide back drape. If you need a full 10x20 back drape, please choose an in-line booth.
-Cancellation policy: If you cancel more than 2 months before the show (August 28th) a full refund will be given. More than 1 month before the show (September 28th), 50% refund will be given. Less than 1 month (after September 28th), no refund will be given. If the Philly Bike Expo is cancelled due to City/State restrictions and/or CDC guidelines, registration will be rolled over to 2023.
-Balances on 10x10 booths due by August 19th 2022. Balances on 10x20 booths due by July 22nd. Balances on booths 10x30 and larger due by June 17th. Booths with outstanding balances after those dates will be released back into the system.

Important change in exhibitor move in: The City and Convention Center are preparing for a Presidential and Vice Presidential visit to Philadelphia on Friday, October 28th, therefore exhibitor move-in will now be 10:00AM-5:00PM. Philly Bike Expo exhibitor set up day. The loading docks will close at 5:00PM on Friday. All vehicles need to be out of the hall and off the loading dock before 5:00PM. We will allow the last vehicle up the dock and into the hall at 4:00PM. If any vehicles are left when Secret Service shuts down the docks, you will not be able to get it out until the POTUS and VPOTUS have left. No exceptions or extensions. You may continue to set up in the exhibit hall until 5:00PM as long as your vehicle has been moved out of the hall and off the dock. You may enter/exit using the front doors.
In addition, streets around the Convention Center will be closed at an undetermined time on Friday afternoon. We strongly encourage moving in earlier in the day to avoid traffic delays and/or inability to get to the convention center.
Please know that this is out of my control and I'm so very sorry for the last minute inconvenience.
You will be able to drive into the hall to unload if you provide Vista Convention Services with a credit card on file. The first hour is free. If you leave your car parked in the hall for longer than an hour you will be billed at $125/hour. Please email Vista at: firstname.lastname@example.org with your credit card number in advance of the show or see the Vista service desk in the exhibit hall before you load in. The last car will be permitted to drive in at 5:00pm.
