
Exhibitor Registration & Information
Exhibitor Policies:
-You may use the loading dock to bring in and set up your own booth provided you are not driving a commercial vehicle.
-Power tools are permitted for booths 10x60 (600 square feet) or smaller.
-Booth sharing is allowed: Limit of 2 large companies per 10x10 booth or 3 framebuilders/artisan companies per 10x10 booth.
-All booths include pipe and drape, draped table, 2 chairs, wastebasket, and booth ID sign.
-Inflatables are not allowed and all pop up tents must be labeled fire retardant.
-Table spaces include draped table, 2 chairs and 3' drape behind. There is no side drape.
-Tents must not exceed 8' in height and are required to have a fire retardant tag.
-Booth walls/decor cannot exceed 8' in the back or 3' on the side.
-10x20 perpendicular end-caps have one centered 8’ high x 10' wide back drape. If you need a full 10x20 back drape, please choose an in-line booth.
-Cancellation policy: If you cancel more than 2 months before the show (before January 15th, 2024) a full refund will be given. More than 1 month before the show (before February 15th), 50% refund will be given. Less than 1 month (after February 15th), no refund will be given. If the Philly Bike Expo is cancelled due to City/State restrictions and/or CDC guidelines, registration will be rolled over to 2025.
-Balances on 10x10 booths due by December 19th 2023. Balances on 10x20 booths due by November 22nd. Balances on booths 10x30 and larger due by October 17th. Booths with outstanding balances after those dates will be released back into the system.
-Exhibitors are not permitted to break down their exhibit space until the close of the show on Sunday, March 17th at 4:00PM.

Electricity can be ordered by using the order form on the Exhibitor Services Kit or through the online order form.

- $1,000,000.00 per occurrence and $2,000,000.00 annual aggregate

Exhibitor move-in:
Friday, March 15th - 11:00AM - 6:00PM.
You will be able to drive into the hall to unload if you provide Vista Convention Services with a credit card on file. The first hour is free. If you leave your car parked in the hall for longer than an hour you will be billed at $125/hour. Please email Vista at: heather@vistacs.com with your credit card number in advance of the show or see the Vista service desk in the exhibit hall before you load in. The last car will be permitted to drive in at 5:00pm.
